PERSONNEL DATA CHANGES AND EMPLOYMENT REFERENCE CHECKS
The information recorded in every team member’s personnel file is extremely important. Every team member should ensure that their personal data in their file is accurate and up to date by consulting with the human resources department. It is each team member’s responsibility to report
any change of address, phone number, marital status, name change, IRS tax changes and any other data change to the human resources department.
Only authorized supervisors and senior management personnel will have access to a team member’s personnel file. However, TMCF will cooperate with and provide access to a team member’s personnel file to law enforcement officials or local, state or federal agencies in accordance with applicable law. Confidential health/medical
records are not included in your personnel file. TMCF will safeguard them from disclosure and will divulge that information only: (1) as allowed by law; (2) to the team member’s personal physician upon written request of the team member; or (3) as required for workers’ compensation cases.
Team members who wish to review their own file should contact Human Resources. With reasonable advance notice, team members may review their own files in TMCF’s human resources department and in the presence of an individual appointed by TMCF to maintain the files.
TMCF team members are not authorized to release any information about a teammate, nor issue a reference letter. In response to an outside request for information regarding a current or former TMCF team member, TMCF’s policy is only to furnish or verify a team member’s name, dates of employment, job title and division, unless otherwise required by applicable law.
All inquiries regarding a current or former TMCF team member whether received in writing or by telephone or otherwise must be referred to the human resources department.
